We are committed to protecting your personal data. This Privacy Policy explains how we collect, use, and safeguard your information when you use our fleet management platform.

Data We Collect

We collect information you provide directly: name, email address, company details, and fleet data (vehicle locations, routes, driver information). If you subscribe to our newsletter, we collect your email address and IP address. The IP address is stored for security purposes, fraud prevention, and to resolve any technical issues related to subscription management (Art. 6(1)(f) GDPR — legitimate interest). If you use the live chat, we collect your first name, last name, and email address to identify you and provide personalized assistance during the conversation. We also collect technical data automatically: IP address, browser type, device information, and usage analytics.

How We Use Your Data

We process your data based on the following legal bases for each type of processing: Newsletter (email, IP address): based on your explicit consent (Art. 6(1)(a) GDPR) — used exclusively to send you Guard Fleet Lite updates. You can unsubscribe at any time via the link in any email received. Account registration (name, email, phone, company data): based on contractual necessity (Art. 6(1)(b) GDPR) — required to provide the fleet management service. Live chat (first name, last name, email): based on your explicit consent (Art. 6(1)(a) GDPR) — used exclusively for identification during the conversation and not stored after the session ends. Cookie preferences (IP address, consent choice): based on legal obligation (Art. 6(1)(c) GDPR) — required to demonstrate consent as mandated by GDPR Art. 7(1). Analytics cookies (usage data): based on your explicit consent (Art. 6(1)(a) GDPR) — activated only after you accept analytics cookies. Support requests (name, email, description, IP address): based on legitimate interest (Art. 6(1)(f) GDPR) — necessary to process and respond to your support request. Data is stored until the request is resolved. Data Sharing

We do not sell your personal data. We may share data with: service providers who help us operate the platform (hosting, analytics), law enforcement when required by law, and business partners only with your explicit consent. During account registration, company identification data (CUI/CIF or VAT number) is sent to the Romanian National Agency for Fiscal Administration (ANAF) and/or the European Commission VIES system to verify company details. These are public institutions and the data transmitted is publicly available company information.

Data Retention

Account data is retained for the duration of your use of the service and 30 days after account deletion. Analytics data (Google Analytics) is retained according to Google's policy, typically 14 months. Consent cookies are retained for 180 days. Newsletter form data is retained until you unsubscribe. Upon request, we can delete your data within 30 days.

Your Rights (GDPR)

Under GDPR, you have the right to: access your personal data, rectify inaccurate data, request data deletion (right to be forgotten), restrict processing, data portability, and object to processing. International Transfers

We use Google Analytics for website traffic analysis. Data collected through Google Analytics may be transferred and processed on Google servers located outside the European Economic Area (including the USA). Google operates under Standard Contractual Clauses approved by the European Commission, ensuring an adequate level of data protection. This data is collected only with your explicit consent through the cookie settings. We also use a third-party geolocation service to determine the approximate location (country, region) based on your IP address when you subscribe to the newsletter. This processing is based on our legitimate interest in service optimization and fraud prevention (Art. 6(1)(f) GDPR).
